Terms of Service

Using CastleHQ means you accept these Terms of Service. We may end your account if these rules are broken. We can revise the Terms at any time; major updates get an updated date plus email or in-app notification.
Key Definitions
"Company," "we," "us," or "our" refers to ByteJoy LLC.
"Services" covers castlehq.app, its subdomains, and the CastleHQ project management application, in web or any future access methods.
"You" or "your" means individuals or organizations holding a CastleHQ account.
Billing, Payments, and Refunds
- No free tier available. View current plans and pricing at castlehq.app/pricing.
- Signup or upgrade charges your card immediately through Paddle; billing cycle begins then. Later plan adjustments take effect on the next cycle.
- Displayed fees exclude taxes; we collect applicable taxes via Paddle. You handle any additional taxes owed.
- Refunds: We offer a full refund if you're a new customer and unsatisfied within your first month; contact support to request. Refunds are only available during that first month for new customers; after that, we consider refunds only in limited cases (e.g., forgot to cancel with no usage, or missed the cancellation deadline right after renewal). Your Responsibilities and Account Rules
- Protect your account credentials and password; make sure your team does the same. Losses from weak security are on you. Enable two-factor authentication; we recommend it strongly.
- You control and are fully responsible for all content uploaded and activities in your account, including those by your invited users.
- Accounts are for real people only; no automated or bot registrations permitted. An authorized AI Agent acting directly on your behalf is permitted, so long as it is explicitly authorized by you.
- Do not use CastleHQ for unlawful activities, spam, harassment, hate speech, or anything violating laws or harming others. Violations may result in suspension or account closure.
Intellectual Property and Content Rules
- Your content remains yours. By using CastleHQ, you grant us a limited, non-exclusive license solely to host and present your materials within the Services.
- All content must comply with U.S. copyright law; infringement claims can be filed at castlehq.app/dmca. While we do not review content before it is posted, we may remove material that violates our policies or applicable law.
- CastleHQ and all associated code, designs, trademarks, and intellectual property are owned by us or our licensors. You may not copy, reproduce, reverse-engineer, resell, or commercially exploit any part of the Services without our prior written permission. Logo usage requests should go through support; we may revoke granted permissions at any time.
Service Availability, Security, and Data Handling
- CastleHQ is provided on an "as-is, as-available" basis without guarantees of uptime or specific performance levels. You accept all risks of use, though we work hard to maintain reliability.
- If your usage places an unusual load on our infrastructure and affects other customers, we may throttle or restrict your account. We will notify you beforehand when possible, but reserve the right to act immediately if service quality is at risk.
- Your data is safeguarded with backups, redundancy, and encryption. Refer to our Security Overview for more, including issue reporting.
- We process your data exclusively as outlined in our Privacy Policy. Our team will only access account data (a) with your express consent when assisting with a support request, or (b) as minimally needed to resolve system errors.
- We may also review logs and metadata to protect system integrity and investigate abuse. If compelled by a valid U.S. legal order, we will comply, but we challenge overbroad or foreign requests that lack proper authorization.
- Operations involve providers such as DigitalOcean (hosting), Resend (email), Paddle (billing), and Anthropic/OpenAI (support tools). See Privacy Policy for details.
- These Terms incorporate our Data Processing Agreement (DPA) for GDPR/UK GDPR compliance.
Account Cancellation and Data Removal
- To close your account, use the cancellation option in Organization Settings within the app. Requests sent by email or phone are not treated as formal cancellations; use the in-app tool instead. Contact support if you need assistance.
- When you cancel, you retain full access to your account through the end of your current billing period. After that period expires, your data is locked and permanently purged (including backups) within 30 calendar days. Export your data before your billing period ends using the dashboard export feature.
- Cancellation stops future renewals; you will not be charged again after your current billing period. We do not issue partial refunds for the remaining time in that period; see our Refund Policy for exceptions.
- We reserve the right to suspend or terminate accounts at any time for issues like unpaid fees, policy violations, or abusive behavior.
Changes to Features, Service, or Pricing
- Our goal is to operate CastleHQ indefinitely. That said, features may be introduced, altered, or retired at any time for technical, design, or business reasons, potentially without advance notice.
- We may revise our pricing from time to time. Where a change affects your current plan, you will receive at least 30 days' written notice at your account email. In many cases, existing subscribers will be grandfathered at their current rate.
API Usage and Integrations
Our API enables integrations with CastleHQ. Access or use (including through third-party tools) agrees to these Terms plus the following:
- You acknowledge that API integrations carry inherent risk. We disclaim responsibility for any disruptions, data issues, or losses that occur through API access or third-party connectors.
- Abusive patterns or excessive requests may result in temporary or permanent API suspension. We'll attempt to notify you, but may act immediately if problems arise.
We are not responsible for any third-party integrations or tools connecting to CastleHQ.
Liability and Disclaimers
To the fullest extent allowed by law, we are not responsible or liable for any damages (direct, indirect, incidental, consequential, or otherwise) arising from your use of the Services, data loss, unauthorized access, third-party conduct, or anything connected to these Terms or the Services.
General Provisions
